Messe Düsseldorf stand construction: a pre-production checklist

Organize Düsseldorf technical documents, design review, exhibitor service orders and installation responsibilities before committing to manufacture.

Create one event-specific technical file

Start with the technical guidelines published through Messe Düsseldorf's stand-construction portal. Add the event's allocated stand plan, exhibitor instructions and relevant order confirmations. Record the edition of each document. If the project began with an old show render, identify what has changed before asking a workshop to quote or manufacture it.

Nominate a technical lead and an exhibitor-account owner. They may be different people: one prepares drawings and answers construction questions, while the other has authority to order services. Give them a common issue register so a technical decision does not depend on a purchase nobody has made. Include the agency's approval owner for any resulting cost or design change.

Turn the design into reviewable information

Provide dimensioned plans and elevations, materials information, product dimensions and the services needed for demonstrations. Ask the responsible specialist to identify further supporting documents for the proposed features. Do not treat a render as an engineering record or assume that a previous acceptance transfers to a changed structure.

List unresolved assumptions before production starts. Examples include overhead features, heavy exhibits, enclosed areas, support details and access around equipment. The required treatment depends on the current official rules and the actual design. This guide intentionally avoids presenting blanket numerical limits or approval deadlines that may not apply to your event.

Reconcile the order system with the construction drawings

The show's exhibitor service information determines how applicable services are ordered. Match each confirmed order to a position or requirement on the plan. Separate equipment hire from the connection or installation it needs; a screen rental and a suitable power supply are not necessarily one purchase. Keep allowances visible until an actual order resolves them.

After every significant design revision, check whether the services still match. Ask the technical lead whether the change affects an earlier submission, and ask the commercial lead to approve any additional cost. This step is particularly important when an overseas client changes equipment after the local team has already prepared the stand.

Issue a site-ready handover package

The site supervisor should receive the approved drawing issue, component inventory, service record, installation sequence, contact list and open-items register. Define who reports a discrepancy and who can authorize a remedy. Keep the package accessible to the team that will actually assemble the stand, not only the agency's project manager.

At handover, record functional checks and outstanding defects. At dismantling, reconcile rental returns, stored assets and waste responsibility.
