MEDICA exhibition stand production: plan demonstrations and meetings together
Prepare a MEDICA stand brief with product schedules, demonstration utilities, meeting space, installation sequence and Düsseldorf technical coordination.
Start with what the exhibitor needs to demonstrate
List each product and explain how a visitor will interact with it. Is the item static, powered, operated by a representative or part of an appointment-led presentation? Record the physical dimensions, weight, connection requirements and the person responsible for setup. A medical exhibition stand can fail functionally even when its graphic design and meeting area look complete.
Mark the space needed around a demonstration and identify where staff will stand, where visitors can pause and where packaging or consumables will be stored. The official MEDICA website lists the 2026 exhibition for 16–19 November in Düsseldorf. Those are show dates, not a complete delivery programme. Obtain the current exhibitor instructions for installation, service purchases, technical submissions and dismantling. Work backwards from a client-ready handover and leave time to test the demonstration equipment.
At the enquiry stage, provide the edition, hall, allocated plan, product list and current design revision. If a deadline is already tight, ask the production partner to identify which scope can realistically be delivered and which decisions need immediate resolution. Do not treat a website enquiry or initial estimate as reserved workshop capacity.
Test the stand as a working environment
Coordinate product arrival with the installation sequence. A large or sensitive exhibit may need to be positioned before surrounding counters, partitions or graphics are completed. Assign the handling provider, equipment setup lead and person who accepts the item on arrival. Record damage or missing accessories before the carrier leaves where practical.
Before handover, test the functions the client needs: relevant power and data, screen content, storage access and the planned demonstration workflow. Keep specialist equipment commissioning with the authorized product team. Separate a cosmetic snag from an issue that prevents use, and agree who provides support during the event if a component fails.
Protect the agency relationship and the post-show assets
For overseas agencies, agree a white-label contact route among client, local builder and technical specialists. The agency should retain commercial approval while the people installing the stand can obtain the technical information they need. Keep a record of design revisions and changes to the product schedule, because a substituted device can affect both build and services.
Plan the return of exhibits independently from the dismantling of rented or reusable stand components. Label ownership, destinations and receiving contacts.
