Fira Barcelona publishes participation regulations with separate venue documents. Start from the booked venue and event rather than forwarding a file from an unrelated show. Ask the technical lead to record the applicable document edition and confirm any event-specific conditions. The commercial quotation should identify the same event, venue and dates as the approved brief.
Attach the allocated plan and distinguish space-only booking from any package that already includes construction or services. Before commissioning additional elements, confirm what the organizer provides and what remains the exhibitor's responsibility. This prevents paying twice for one item while overlooking another that the design depends on.
Design the stand and utilities together
Place meeting areas, storage, demonstration equipment and screens on the plan before finalizing service routes. Ask the builder how power and data will reach each point and which components need access during the show. If the layout changes after service orders are placed, review those orders rather than assuming the old connections still fit the new design.
Keep technical review separate from the client's aesthetic sign-off. The appointed specialist should assess the actual materials, structure and event requirements. Where the design depends on a venue feature, ask for confirmation rather than treating a hall wall or structure as part of the stand. Choose local fabrication, rental or shipped components deliberately
For an international agency, the right route may combine locally rented structure, custom graphics and client-supplied products. Ask the bidder to identify each source and the party accountable for fit. A mixed model can work well, but only if dimensions, assembly interfaces and finish expectations are resolved before separate suppliers dispatch their components.
Compare installation time, packing, freight, handling and repairs alongside manufacture. A visually elaborate concept may become easier to deliver by simplifying concealed construction while retaining the public-facing finish. Ask for a marked-up alternative and a clear cost change. The agency should approve the trade-off rather than discovering a substitution at handover.
Give the agency one controlled reporting route
Record who owns technical queries, service purchases, truck arrival, on-site supervision and end-client communication. For white-label work, establish the communication boundary before sharing the brief. Use a production checklist and an on-site defect record so remote stakeholders can make decisions from evidence rather than optimistic progress descriptions.
