European exhibition logistics: from packed inventory to return shipment
Plan exhibition freight in Europe with delivery access, handling ownership, installation sequencing, empty-case storage and a controlled return journey.

Build the shipment record before booking the vehicle
List every crate, pallet and loose component with dimensions, weight, contents and the contact responsible for it. Distinguish stand structure from client products, consumables and rented equipment. Mark fragile or handling-sensitive items using the instructions supplied by their owner. A carrier needs accurate packed measurements; an installer needs to know what can be unpacked and assembled first.
Design the packing order around installation. Flooring and structure may need access before graphics or furniture, while a large exhibit may need to be positioned before surrounding walls are built. Ask the workshop and site supervisor to agree the sequence before loading. Photograph the condition and record exceptions at collection, rather than trying to reconstruct responsibility after damage is discovered.
Treat venue access as a separate confirmed task
Official systems vary by venue. Messe Frankfurt provides traffic-management and arrival-registration information. Viparis requires LOGIPASS for loading and unloading access. Messe München publishes logistics and traffic guidance. Use the instructions for the current event and destination; there is no single pass that covers European exhibition venues.
Give the driver the goods-access instructions, vehicle registration details where required, booked handling, stand location and live contact number. Assign someone to check that access arrangements are complete before dispatch. If the vehicle is delayed, the carrier, handling provider and installation supervisor should receive one coordinated update, not three conflicting instructions.
Name the owner of every handling step
Define where the carrier's scope ends. Who unloads, supplies lifting equipment, moves goods to the stand and checks the inventory? Who arranges empty-case storage and retrieval? These tasks may involve venue-appointed services or separate providers; confirm the applicable event arrangement. Do not assume an installation crew is authorized or equipped to perform every handling operation.
For shipments crossing customs borders, involve the appointed freight or customs specialist early. Tell them what is travelling, its ownership, value, origin, destination and intended return. Obtain advice for that actual shipment rather than treating a general website checklist as customs guidance. Keep document ownership and any unresolved requirements visible in the dispatch decision.
Plan dismantling before opening day
The return journey needs its own timetable, inventory and receiver. Confirm when empty cases become available, when dismantling may begin and who can load the vehicle. Identify rental returns separately from goods going to storage or to the client's premises. A freight booking that simply says ‘return after show’ leaves critical operational details unresolved.
Close the project with a packed inventory, condition report, shipment confirmation and storage receipt where applicable. Record missing or damaged components before planning the next show. For a touring stand, feed those findings into repairs and graphic replacement. Does exhibition freight include unloading?
Only if the agreed scope says so. Confirm the exact handover point and who supplies handling, lifting and movement to the stand.
Who stores empty crates during the show?
Assign that service in advance using the applicable venue arrangements. Also confirm retrieval for dismantling; storage without a return plan is incomplete.
Should we dispatch as soon as fabrication is finished?
Dispatch after checking inventory, packing, recipient readiness, access and handling arrangements. Finished manufacture does not by itself make the delivery slot usable.
