Make the destination unambiguous

A project described only as ‘Paris’ is not ready for dispatch planning. The brief should identify the venue, event, hall, stand number and the exhibitor's current technical documents. Keep the visitor entrance separate from the goods-access instructions. This distinction matters to a carrier, but also to the site supervisor who must meet the shipment and the agency representative attending handover.

Confirm which working language the technical team and on-site crew will use. The agency may communicate commercially in English while event documents or site coordination require another language. Ask who resolves a technical question on the day, and keep the answer in the shared project record. Do not leave the driver or installer to interpret an unfamiliar instruction under time pressure.

Assign LOGIPASS and delivery coordination explicitly

Viparis states that LOGIPASS is required to access loading and unloading areas. Consult the official system and the event's own instructions for the relevant procedure. Name the person responsible for registration, vehicle details, access information and updates. A confirmed transport quotation is not evidence that the access process is complete.

Give the carrier a concise delivery sheet with the venue instructions, contact details, load inventory and handling arrangement. Ask how delayed arrival is communicated and who can change the plan. Keep the installation supervisor informed; a schedule that books labour before the shipment can be received creates cost without progress.

Separate stand delivery from exhibition readiness

A Paris builder may finish assembly while product positioning, AV setup, cleaning or service activation remains outstanding. Define handover as a usable stand, with each scope boundary visible. List what the exhibitor supplies and what the contractor must test. If internet or powered demonstrations matter to the visitor experience, assign a test rather than assuming that an order confirmation proves operation.

Ask for progress evidence before dispatch and use a snag list on site. The agency should be able to distinguish a cosmetic correction from an issue that prevents the client from opening. Agree who can approve remedial cost and whether event-time support is included. This is especially useful when the designer, workshop and client are in different countries.

Compare the return journey as part of the bid

Request a quotation that covers dismantling, retrieval of empty packaging, loading, return freight and the final destination of every asset. If rental equipment is involved, assign its collection and return condition checks. If components will be reused, define inventory and damage reporting before the project closes.
