Exhibition stand builders in Germany: a sourcing guide for agencies
How to brief and compare German exhibition stand builders across cities, with clear responsibility for production, venue services and installation.
Start with the delivery route, not the supplier postcode
An agency searching for an exhibition stand builder in Germany may need local fabrication, assembly of an imported stand, rental of a modular system or a complete managed delivery. These are different scopes. Write down which parts already exist, who owns the design and what the supplier must deliver before requesting a budget. A portfolio of finished stands does not explain whether a supplier produced them, installed them or managed someone else's workshop.
Build a shortlist around the show's dates and production method. A workshop outside the host city may suit the project if its freight and crew plan are credible. A supplier with a nearby address still needs suitable capacity, materials and installation supervision. Ask for the workshop location, dispatch plan and name of the person responsible on site, then compare the complete delivery cost rather than distance alone.
Treat Frankfurt, Düsseldorf and Munich as separate projects
German venues publish their own technical information. Messe Frankfurt has a stand-builder information service, Messe Düsseldorf publishes technical guidelines through its construction portal, and Messe München provides technical exhibitor support. Use the documents for your exact event and hall; an approval from a previous show is not a universal approval for Germany.
Create a separate project sheet for each city in a touring programme. Record the stand number, floor plan revision, service-order owner, technical questions, access window and handover time. If a stand moves between shows, compare its next footprint and open sides before ordering reusable components. A reused wall kit may still require new graphics, revised engineering or different power routing.
What evidence should a German builder provide?
Ask for relevant project evidence that identifies the scope delivered. A comparable stand size is useful, but material quality, installation constraints and technical complexity matter too. Request sample production drawings, a finish sample process and a realistic explanation of subcontracting. Confidential client work can be described with permission or assessed privately; it should not be invented for a public portfolio.
Discuss who owns procurement, fabrication, graphics, freight and local installation. Ask what is made in-house, what is rented and what is outsourced. The aim is not to eliminate subcontracting, but to know who is accountable when a component is delayed or a finish is rejected. Confirm that the proposed crew and workshop dates are available for your event, rather than treating general company capacity as a reservation.
Make the quotations comparable before negotiating
Send the same drawing revision and scope checklist to each bidder. Require line items for design preparation, structure, surfaces, flooring, graphics, lighting, rentals, transport, handling, installation, dismantling and disposal or return. Record exclusions separately, especially venue services that the exhibitor must order directly. If the proposal contains allowances, ask how actual charges and unused balances are reconciled.
Keep one commercial approval channel. For white-label work, identify who can speak with the end client, how the agency's name is used and who can approve a cost change. A lower headline quotation is not a saving when critical items have no owner.
